FAQ: Absences reduce target working time

Vacation and sick leave are automatically deducted in the time account. For all other absence types, you have two options:

1) Not deducted in the time account

By default, Timebutler does not deduct other absence types from the time account.

For example, if an employee has 8 h of target working time on a Monday and enters training (or vocational school or home office) for that day, Timebutler does not automatically credit the training on that day. If the employee has only entered the training absence for Monday and no time entry, Timebutler will count 8 h of target working time and 0 h of actual working time on that day, resulting in 8 h of negative hours.

2) Define absence types that reduce target working time

An admin can configure each absence type individually to reduce target working time.

If you activate this for training, the calculation would look like this: an employee has 8 h of target working time entered for Monday. They have entered a day of training for Monday. Timebutler automatically reduces the target working time for that day. The employee has not entered a time entry for the day. Since the target working time is reduced, the employee has a balance of 0 h on that day despite the “missing” time entry. They only need to enter training and do not need to enter an additional time entry.

If you choose option 1), the simple rule applies: employees must always record all working time performed, regardless of whether it was in the office, in training, at vocational school, or elsewhere. It is therefore not sufficient to enter, for example, only training but no working time. The advantage of this option is that you can record working time to the minute for each day.

If you choose option 2), the rule applies: employees only need to enter the absence (e.g., training), not a time entry. The disadvantage is that you cannot specify working time to the minute: Timebutler will deduct the daily target working time regardless of the working time actually performed.

To check or change which absence types reduce target working time, sign in to Timebutler as an admin, click “Settings > More..” at the bottom left, then click “Absence types” on the right. In the “Reduces target working time” column, you can see for which absences this option is active. To change the setting, click the green button with the pencil (=Edit) on the left in the row of the desired absence. Then check “Reduces target working time” and save the change by clicking the “Save” button.
