Mid-year start with Timebutler

If you start using Timebutler mid-year, for example in May or August, you need to decide how to handle working time and the vacation and absence entries from previous months. Here is the best way to proceed:

Transfer vacation requests

Timebutler manages vacation balances by calendar year. For this reason, it is best to enter all vacation requests for the entire calendar year in which you start using Timebutler. You don’t have to enter them manually; you can import the absences using the bulk import in Timebutler.

Here you can find information about the bulk import of absences.

Transfer absence entries

As a rule, you don’t need to add absence entries that occurred before you started using Timebutler. It usually doesn’t matter when employees worked from home or went on a business trip in the past, for example. For these other absences, it is usually enough to import only entries that are in the future. You can, of course, also import entries from the past. As with vacation requests, you import them using the bulk import for absences.

Here you can find information about the bulk import of absences.

Transfer the overtime balance for time tracking

If you enable the time tracking feature in Timebutler, you need to enter the overtime balance that each employee has accumulated up to the day time tracking starts. You don’t have to do this in advance. Since this balance is only final on the start day itself, it is enough to enter it once you have started using Timebutler. To do so, log in as an admin, click Settings > Working time balance in the bottom left, and enter the values in the Working time balance at the start of time tracking column.
