Assign holidays to employees

Holiday calendars define which holidays apply to employees.

Assign Holiday Calendar When Creating a User

When creating a single user account:

  • Select the desired Holiday calendar in the Holiday calendar option.

Assign Holiday Calendar via Bulk Import

When importing multiple user accounts via Excel:

  • You can select from predefined Holiday calendars in the file.

If your custom Holiday calendar is not available in the Excel file:

Step 1: Set Default Holiday Calendar

  1. Go to Settings > Standard settings for new users.
  2. Define the desired Holiday calendar as the default.

Step 2: Use Default in Excel Import

  • In the Excel file, select - Default holiday calendar - in the Holiday calendar column.

Change Holiday Calendar for an Existing Employee

  1. Log in to Timebutler as an Admin.
  2. Go to Settings > Working days.
  3. Click Edit next to the desired employee.
  4. Select the required Holiday calendar.
  5. Save your changes.

Assign Holiday Calendar to Multiple Employees

  1. Log in to Timebutler as an Admin.
  2. Go to Settings > More… > Holiday sets.
  3. Select the desired Holiday set.
  4. Click Assign to users.
  5. Click Assign to multiple users.
  6. Follow the instructions to assign the Holiday set.

Change Holidays from a Specific Date

If an employee’s holidays change from a specific date (for example, due to a location change):

  • Configure multiple time periods in the working time model to reflect the change.

Default Setting for New Users

You can define a default Holiday calendar for new user accounts:

  • Set this in Settings > Standard settings for new users

This ensures that the correct Holiday calendar is preselected when creating new users.
