Here an admin controls messages for the entire company. The page has two tabs.
General settings: Automatic messages for employees
This is the main switch that determines whether employees receive automatically generated messages at all.
- Disabled (default): Employees receive no automatically generated messages. Admins and managers still receive them.
- Enabled: Employees also receive automatic messages, for example when their shift schedule is published.
Good to know
- This setting only affects automatic, event-driven messages. Manually written messages and company-wide announcements from Timebutler always reach the addressed people.
- Regardless of this setting, admins and managers always receive the messages they need to do their work.
- If you enable the setting later, missed messages are not redelivered retroactively; it applies from that moment on.
Advanced settings
The “Email copies to HR or other recipients” function has been moved to the Messages area. Here you can also specify that HR, or other email recipients, receive a notification about an absence that requires approval. They are informed without being able to approve or reject the request.
Enter the desired recipient email addresses here. You can restrict the notifications to employees in specific departments or locations, and specify that copies are only sent for certain absence types — for example, only for vacation and sick leave.
The recipients will first receive an email with a confirmation link to confirm that they want to receive notification emails. Sending is only activated after they confirm.
Note: Because Timebutler only sends emails for requests that require approval, you cannot notify recipients about absences that do not require approval.
Settings > Shift planning > Accept / reject shift assignments
The Shift planning settings page has a separate switch. When it is enabled:
- Every shift assignment has
Accept/Rejectbuttons — in the inbox, in the email, and in the recipient’s personal shift calendar. - The planner who created the assignment receives an information copy when the recipient responds.
- A weekly
Accept allbutton in the calendar lets employees confirm an entire week. The planner receives a consolidated summary, not one message per shift.
When the switch is off, shift messages are purely informational and no response is required.
