The entitlement for a 5-day week is the vacation entitlement for a full calendar year that the employee would have if they worked a 5-day week (full-time). This value is not an actual vacation entitlement in the vacation account but serves solely as a calculation basis in case the vacation entitlement needs to be recalculated for a given year.
For employees who have 5 weekly working days configured, this value should be identical to the vacation entitlement for that year. For employees who have more or fewer than 5 weekly working days, the value will contain exactly the vacation entitlement the employee would have if they worked 5 days per week.
What is the purpose of the entitlement for a 5-day week?
When an employee’s start or end date is changed or newly entered, or when the number of weekly working days changes, the vacation entitlement must be recalculated.
To calculate the new vacation entitlement, it is necessary to know the entitlement for a full-time position (5-day week). The entitlement for a 5-day week therefore serves as a calculation basis so that Timebutler can compute the new vacation entitlement for the employee.
This value is used only for this recalculation of the vacation entitlement. It is not a vacation entitlement that the employee has as a balance in their vacation account, and therefore this value is not displayed in the vacation account.
For which year does the entitlement for a 5-day week apply?
The entitlement for a 5-day week applies equally to all years. If you change the value, the updated value automatically applies to all years.
Where is the entitlement for a 5-day week displayed?
The entitlement for a 5-day week is displayed only in the editing form for the vacation entitlement values and can be edited there. It is not shown in the vacation accounts or in other views.
How is the value calculated?
When creating a new user account, the vacation entitlement and the weekly working days are entered. From this information, Timebutler automatically calculates the entitlement for a 5-day week:
- If the employee has 5 weekly working days, the specified vacation entitlement is also used as the value for the entitlement for a 5-day week.
- If the employee has more or fewer than 5 weekly working days, the vacation entitlement is converted accordingly. For example, if the employee has 3 weekly working days and 18 days of vacation entitlement, this corresponds to a vacation entitlement of 30 days for a 5-day week (18 / 3 x 5 = 30 days).
The result is rounded to the nearest half day so that no fractions smaller than half a day occur.
Can the value be edited?
The value can be edited at any time in the editing form for the vacation entitlement. Changing this value has no immediate effect on the vacation entitlement or the vacation account.
Only when an employee’s vacation entitlement needs to be recalculated (due to a change in the start/end date or the weekly working days) does Timebutler use this value to calculate the new vacation entitlement.
Does the value need to be entered or edited?
Timebutler calculates the value automatically when creating a new user account. You do not need to enter the value yourself.
In rare cases, however, the value must be edited — namely when the annual vacation entitlement changes. For example, if you grant an employee one additional vacation day per year after 10 years of service, you would increase the “Entitlement for a 5-day week” value by one day.
