Purpose and benefits of user groups

You can group any users into user groups. User groups serve the following purposes:

Filter option

Timebutler offers a filter option in many views, for example in the calendar view or the list view of absences and time entries. As soon as you have created at least one group, the filter also shows the user groups option. You can use it to filter the view to a user group.

Because a user group can include any employees from various departments or locations, you can filter views to a very specific employee group this way. For example, you can create a user group called “Summer party planning team” with employees from various departments and locations and then filter the calendar view to those employees.

Extending visibility permissions

You can extend employees’ and managers’ visibility permissions to additional departments, individual employees, or user groups. As soon as you have created at least one user group, you can also enable user groups in the settings for [Extended visibility permissions(/users-and-permissions/permissions/extend-viewing-permissions/).

No automatic visibility permissions
When you create a user group, the employees in the user group do not automatically get visibility permissions for each other.

Example: Employee Schmitt has visibility permissions for Meier and Müller. You now create a user group with employees Schmitt, Huber, and Hoffmann. This does not give employee Schmitt visibility permissions for Huber and Hoffmann; Schmitt still only has visibility permissions for Meier and Müller.

Use in many settings

In Timebutler, you can restrict many settings to employees, departments, locations, and user groups, for example [Limits(/vacation-planner/settings/limits-and-minimum-availability-of-employees/), [Transferring remaining leave(/frequently-asked-questions/vacation-and-absences/transfer-remaining-vacation-and-overtime-to-the-following-year/), the [Download Center(/reports/download-center/absence-entries/), and many more.

Record working time only at the time tracking terminal

You can require that certain employees [start the time clock only at the time tracking terminal(/time-tracking/time-clock-terminal/allow-only-the-time-tracking-terminal/) (and, if desired, only stop it there as well). You need a user group for that.
