FAQ: Vocational school and working time

In Timebutler, you can create any absence types and have employees record them, including vocational school.

If you have enabled time tracking, there are two options for how vocational school affects the working time account. Depending on how your company evaluates working time during vocational school days, you should configure the vocational school absence type as follows:

Option 1: Vocational school days should count as full working days

In most companies, it is stipulated that the vocational school student does not have to come to the workplace on days with vocational school after class. Alternatively, it applies that on vocational school days, the daily target working time is considered fulfilled regardless of whether the student actually worked the full target hours.

If all vocational school days should be treated as though the target working time has been met — regardless of whether the student worked their full target hours (e.g., 8 hours) at vocational school — then enable the “Reduces target working time” option for the “Vocational school” absence type.

When this option is enabled, the vocational school student only needs to enter a vocational school absence entry on days with vocational school. They do not need to record working time for those days: the days are already considered fully completed.

On days without vocational school, working time must still be recorded as usual.

Advantage of this option: On vocational school days, the student only needs to enter a vocational school entry and does not need to record working time.

Disadvantage of this option: This option is not suitable if the student should also record their working time on vocational school days and overtime or deficit hours need to be tracked.

Option 2: Also record and evaluate working time on vocational school days

If your company requires that the vocational school student comes to the workplace after class on vocational school days and their working time should be recorded, you should disable the “Reduces target working time” option for the “Vocational school” absence type.

When this option is disabled, vocational school has no effect on the working time account. In this case, the student must also fully record their working time on vocational school days, including the time spent at vocational school. If no working time is recorded, Timebutler calculates 0 hours of actual working time, and with a target working time of, for example, 8 hours, this would result in -8 hours of deficit for that day.

Advantage of this option: Working times are credited to the minute in the working time account, even on vocational school days.

Disadvantage of this option: On vocational school days, the student must both enter a vocational school absence entry and record their working time.

Option 1 and Option 2

In some cases, vocational school needs to be handled differently depending on the day of the week. For example, on Tuesdays with vocational school, the student does not have to come to the workplace, but on Thursdays with vocational school, the student must come to the workplace afterwards. On Thursdays, working time should then also be recorded, but not on Tuesdays.

In this case, Option 1 applies to Tuesdays and Option 2 applies to Thursdays. However, only Option 1 or Option 2 can be activated, not both. In this scenario, Option 2 must be activated, and the student must record working time on both Thursdays and Tuesdays.
