Only the user themself can view and change the PIN for the time tracking terminal in their Timebutler user account. No user can view or change the PIN for other users, not even supervisors or admins.
The reason is that authentication would be compromised if a user could view someone else’s PIN. Timebutler logs the change history, among other things for time entries. It would then log that an employee who authenticated with a PIN started the time clock. However, you could no longer ensure that the logged user was actually the one who performed the action. The change history would no longer be reliable, and the audit trail’s integrity would be at risk.
Employees without an email address cannot log in to the Timebutler user account and therefore cannot view the PIN. As a result, these employees cannot use the time tracking terminal.
Add email address
To allow these employees to use the time tracking terminal, enter an email address for them. Your IT colleagues may be able to create an email address for them.
Alternative: add a private email address
Alternatively, after discussing with the colleagues, you can enter the private email address. The email addresses are not shared with third parties and are used only in connection with Timebutler (sending login credentials, notifications about approved vacation requests, etc.).
Furthermore, you can additionally protect employees’ private email addresses by enabling the option that employee users do not see others’ email addresses. Especially when asking for a private email address, colleagues often prefer that the email address not be shared with other employees. There is an option for this in the [Global Settings(/set-up/global-settings/edit-global-settings/): “Hide other people’s email addresses for employees”.
